Looking to connect with UBC alumni for your next event? We can help you in a variety of ways!
The UBC Student Alumni Council supports campus organizations and student clubs to host programs and events that bring students and alumni together. Support is available in many forms, including financial assistance, marketing promotion, or direct collaboration on the planning process.
Through these efforts, we enable student groups to connect with our alumni community. We encourage any campus organizations interested in hosting an event or program that links students with alumni to apply and join us in building a cohesive campus community.
Campus organizations may request support in many different forms:
- Alumni volunteers: Assistance finding alumni speakers
- Marketing: Promotion to alumni via alumni UBC social media channels and/or newsletters. Promotion to students via the UBC SAC social media channels.
- UBC SAC consultation: UBC SAC members will be involved in the planning process.
- UBC SAC volunteers: UBC SAC members will be involved as either event hosts, MCs, or volunteer support. For volunteer roles other than event hosts or MCs, we request that SAC members are involved in the planning process (see “UBC SAC consultation” above).
- Financial support: Budget provided as per the sponsorship agreement.
Please ensure that you submit the application at least six weeks prior to your event date. The event must meaningfully connect students and alumni to be eligible for support from alumni UBC and the SAC.
FAQs
What is the UBC Student Alumni Council?
The Student Alumni Council (SAC) is a team of student leaders dedicated to strengthening connections between UBC students and alumni. SAC members develop original programs, collaborate with campus partners, and promote the UBC alumni network on campus. The SAC is supported by alumni UBC, the university’s alumni association.
Does the event need to be fully planned before we apply?
You should have an outline that gives us a clear idea of what the event will look like. At minimum, please include the following details:
- The purpose of the event and a brief description of event activities (panel, networking reception, workshop)
- A proposed date and time
- Estimated number and type of attendees (undergraduate students, specific faculty, club members, etc).
- How many alumni you hope to include and the roles they will play (panellists, mentors, judges, speakers, etc).
- Whether you are seeking alumni recruitment, funding, outreach assistance, or a combination of these. Please specify numeric values where applicable (e.g., 5 alumni, $300 in financial support, etc.).
Please note that follow-up meetings are common throughout the partnership process. If any key details (such as the event date, alumni involvement, or event format) change after submitting your application, please inform us as soon as possible so we can adjust our support accordingly.
Is there a deadline to apply?
Applications are accepted on a rolling basis throughout the year. However, we ask that you submit your application at least six weeks before the event date to allow sufficient time for review, alumni recruitment, and any necessary follow-up meetings.
Is partnership guaranteed?
No. Due to limited resources, we are unable to guarantee a partnership for every application. To be considered, your project should meaningfully engage both alumni and students and be feasible within the proposed timeline.
Please note that even once a partnership is in progress, the availability of certain resources (such as the number of alumni participants or the extent of support provided) may differ from what was outlined in the original request. Any such changes will be discussed and confirmed at the beginning of the partnership.
What type of events is the SAC looking to support?
Any event hosted by a UBC club or student organization that is open to all students and includes meaningful, direct student–alumni engagement is eligible for partnership. Examples include:
- Alumni panels
- Networking sessions
- Alumni judges for competitions or conferences
- Mentorship-based or career-focused programming
SAC encourages all clubs to integrate alumni participation into their events and is excited to support a wide range of initiatives.
Can we request alumni from a specific faculty?
You can request alumni based on faculty, program, industry, or even previous club affiliation. While we can’t guarantee a perfect match every time, our team will do its best to connect your event with alumni whose experiences align with your objectives.
Why should we partner with UBC SAC instead of working with alumni ourselves?
The SAC team works closely with alumni UBC, giving you access to a trusted alumni network, recruitment expertise, and event support that can save you time and strengthen your programming.
The SAC can also help connect you with alumni who may be difficult to contact. If you have alumni names but do not know how to contact them, the SAC can connect you.
Beyond recruitment, SAC offers logistical guidance, promotional support, and funding opportunities, helping your event run smoothly and reach a wider audience. Our team brings experience planning panels, workshops, networking events, and mentorship programs, and can advise on best practices to help your event run smoothly.
